The Problem with Treating Wholesale Like Direct-to-Consumer
Wholesale flows are one of the most misunderstood automations in Klaviyo. Most ecommerce operators try to apply their standard direct-to-consumer playbook to wholesale accounts, and it completely falls flat.
A retail buyer or stockist does not want to see high-production product carousels, countdown timers, or standard promotional discount codes. They are making commercial buying decisions. The relationship is business-to-business, which means the communication style, sender profile, and backend architecture need to reflect that.
If you blast wholesale leads with standard consumer emails, you burn high-value commercial relationships. That is a mistake.
Step 1: Set Up a Dedicated Wholesale List
The foundation of any clean wholesale setup in Klaviyo is complete list separation. Wholesale contacts should never sit in your general newsletter list or trigger your standard retail welcome flow.
Head to Lists & Segments and create a dedicated wholesale list. Once created, open the list settings, navigate to consent settings, and ensure single opt-in is enabled. You want these contacts flowing into Klaviyo immediately upon submission without unnecessary confirmation friction.
Every wholesale touchpoint across your site, whether an inquiry form or an integrated wholesale portal, must map directly to this isolated list. Keeping this cleanly separated from day one saves hours of cleanup later.
Step 2: Exclude Wholesalers from Your Standard Flows
Once your wholesale list exists, you need to protect your retail flows. 9 times out of 10, ecommerce brands accidentally send direct-to-consumer abandoned checkout or browse abandonment emails to wholesale stockists, quoting retail pricing and standard consumer incentives.
To fix this, go into every single active retail flow in your account (including your abandoned cart, welcome series, browse abandonment, and post-purchase sequences). Add a profile filter across each flow setting:
- Profile property: If someone is not in wholesale list.
Adding this single filter guarantees that wholesale contacts will never receive retail promotions, standard consumer discounts, or irrelevant automated follow-ups.
Step 3: Build for Context and Pipeline Stages
Wholesale automation is not a one-size-fits-all sequence. How you build the flow depends entirely on how contacts enter your pipeline.
For example, if someone fills out a wholesale application form on a landing page, they need an onboarding sequence that addresses terms, minimum order quantities (MOQs), and catalog access. On the other hand, if you manually upload an approved commercial account who already agreed to terms, sending an introductory vetting email will look careless.
Map out the exact status of the subscriber before writing a single line of copy. Customise the trigger and delay logic to fit the specific stage of your commercial sales cycle.
Step 4: Use Plain Text Emails Instead of Visual Templates
In wholesale email marketing, heavy graphic templates work against you. Wholesale buyers expect a direct, one-on-one conversation, not a flashy retail marketing banner.
Inside the flow builder, select the text-only email template rather than the drag-and-drop builder. Keep the formatting stripped back, clear, and professional. State the purpose of the email, deliver the relevant commercial information (such as wholesale portals or line sheets), and ask a direct question.
When an email looks like a personal note from an account rep, reply rates increase dramatically. That is where commercial deals are actually closed.
Step 5: Configure Personal Sender Details and Direct Replies
Your sender settings for wholesale flows should never use a generic company address like hello@brand.com or marketing@brand.com. High-value accounts deserve a named contact.

Keep your wholesale data separate, exclude those profiles from retail campaigns, and send plain text emails from real people.
